Privacy notice

How we collect, use, share and protect personal information, under the UK GDPR and the Data Protection Act 2018.

Who is responsible

CRJ Living CIC is the data controller. Our registered address is Suite 5 The Cloisters, 11–12 George Road, Birmingham, West Midlands, B15 1NP. The Director is responsible for data protection and can be reached on 07794 350523 or at chrismond.williams@crjliving.co.uk.

What we hold

Contact and identity details. Occupancy records, charges and payments. Referral information. Support plans and risk assessments. Health information where it affects housing or safety. Benefit and funding information. Emergency contacts. Correspondence. Incident, complaint and safeguarding records. CCTV footage from communal areas. Photographs where consent has been given, and photographs of property condition.

Why, and on what basis

To provide and manage accommodation and administer the occupancy agreement — Article 6(1)(b). To meet our legal obligations as a landlord — Article 6(1)(c). To protect someone in an emergency — Article 6(1)(d). To provide housing-related support, manage the property safely, administer Housing Benefit and defend our legitimate interests — Article 6(1)(f).

Where we process health or other special category data we rely on Article 9(2)(b) and (c), and on the substantial public interest and safeguarding conditions in Schedule 1 Part 2 of the Data Protection Act 2018.

Who we share it with

The resident’s support provider. The local authority Housing Benefit team and any other funder. Health and emergency services where necessary. Adult safeguarding teams. The police, where there is a lawful basis. Contractors, limited to what they need for access. Regulators where required by law.

We do not sell personal data, we do not use it for marketing, and we do not transfer it outside the UK.

How long we keep it

Housing management records: six years after the occupancy ends. Financial records: six years. Safeguarding records: at least six years, longer where required. Accident records: three years. CCTV: 30 days unless needed for an incident or investigation. Referrals not progressed: twelve months.

Your rights

You can ask for a copy of the information we hold about you, ask for inaccurate information to be corrected, object to certain processing, and in some circumstances ask for information to be erased. Ask us verbally or in writing and we will respond within one calendar month.

If you are unhappy with how we handle your information you can complain to us, and then to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

This site does not set advertising or tracking cookies, and does not use analytics that identify you. The referral form does not send anything to a database — it opens an email in your own email programme, so nothing leaves your device until you press send.
